When someone leaves — revoke Tally, mail, and remote access the same day
The last working day is when people remember the laptop. Cloud logins live longer. If Tally, domain mail, and remote desktop still work from a phone at home, you still have an employee — just one you no longer pay.
Do this before they walk out
- Tally on Cloud — disable the named seat. Do not wait until month-end billing. Shared passwords make this impossible; named users make it a five-minute job. Same idea as giving a CA their own login.
- Mail — disable or convert the mailbox. Forward info@ aliases to a real person; do not leave the old password on a phone. Titan and Google Workspace both support this if you ask on day one.
- Remote access — remove the RDP or gateway account, not only the office PC password. See remote access habits.
What people forget
Saved passwords in a browser, a personal Outlook profile, WhatsApp with company files, and the owner’s “temporary” admin they never took back. Change the gateway password if it was shared. Keep a restore-tested backup from before the last day in case you need a voucher they posted.
Tell support once, with names
One support ticket listing the person, the mailbox, and the Tally login is faster than three chat threads. If logins already look odd, check status before you assume someone is still inside.
