Support tickets that get fixed faster — what to include

When Tally, mail, or a site breaks at 9 AM, a vague “not working” message costs everyone time. A short, complete ticket lets support reproduce the issue once — and keeps your team from repeating the same story on WhatsApp, email, and phone.

Check status before you assume it is only you

Glance at the status page. If the platform is already red, you still open a ticket for your account impact — but you avoid parallel panic while the ops desk is already on the incident.

Put five facts in the first message

  • What — product or hostname (Tally company, domain, VPS name)
  • When — first noticed, IST time, and whether it is still happening
  • Who — one user, one branch, or everyone
  • What changed — password reset, DNS edit, plugin update, new device
  • Evidence — exact error text, screenshot, or last working step

That list replaces three rounds of “can you check again?”

One channel for the incident

Prefer the support ticket form so history stays in one thread. Duplicate chats to multiple people with different half-facts slow the fix. Escalate on the same ticket if the business is blocked — do not start a fresh thread that loses the log trail.

After it is fixed, note the cause

Save the reply that explains root cause (DNS TTL, full disk, bad backup path). Share it with whoever owns renewals and backups so the same outage does not return next quarter.
